    Charles,
Attached is an updated Bio for Dr. Learned.

I do not have any images for our clinics yet but I am working on scheduling someone to come in and do something for us soon.

As far as making the website live, I think we can start making the transition for that. I do have a question as to how it will affect our email though. We use gmail as our email provider but it is all registered through the Columbuseye.org. Once we make the website live, will our email continue to work by forwarding? I’m not sure how this all works anymore.

We do have the two domains registered that will need to point to the new website. www.columbuseyeassociates.com and www.columbuseye.org

What do we need to do for the transition?

    2018-02-09 | charles.b
    Hello Dr, Burton,
Thank you for providing that information and the attachment for Dr. Learned, I have updated her bio on the "Meet the Doctors" page.
I can see through public records that your domain resides in a Wild West Domains account. If you can provide me with the login credentials to that, I would be able to make the necessary updates to make your website live as well as forward the other domain to columbuseye.org.
Regarding emails, it seems that your emails are hosted externally from the domain, which shouldn't affect them once we make the website live. But I wanted to verify if you were using g suite to do this?

    Hello Dr. Burton,

I wanted to follow up to see if you had any other edit requests in mind, as I have implemented the previous requests? I also wanted to check if updated Office images were available yet?

    Thank you,

    Hello Dr. Burton,

I have implemented the latest changes gone over in the previous emails.

Regarding the Video area – I can replace the Video placeholder with your logo. Or, if you’d like, I can also put an image slide of office images you plan on having taken. If so, was there a particular office you had wanted to showcase in this slideshow, as I know you had multiple locations?

Were there any other changes that you had in mind?

    Charles,

In looking at some of the stuff on the temporary website, I see that the address for our Sealy Location is incorrect. The Map show 2879 HWY 36 North but our address is actually 2879 HWY 36 South. The address listed below the map is correct, but the map puts our location on the wrong side of the interstate. I also noticed that one of the videos show how to do editing on the website. Will that be assigned later or am I supposed to have that already?

    ____
    Hello Dr. Burton,

I will correct the map asap. Regarding the video, this is a placeholder video for one that you can provide. I wasn’t able to find one on your current website. Did you have one that I can input?
    ____
We do not have any videos of the clinic available. I am looking at someone to come in and take some pictures of the clinic but it won’t happen for a few weeks.

Also, under the Logo on the home page, we would like to change it from “Providing the Highest Quality Vision Care” to “Providing the Highest Quality Medical Care”

    Hello Dr. Burton,

I wanted to follow up to see if there were additional Doctor bios available for me to input/update? So far I have updated Dr. Hovis and Dr. Nayars Biographies.

I also wanted to see if you had time to further review the site to see if there were any additional changes needed to pages/images/content, to continue the project moving forward and moving closer to making it live?

At the moment the pending items I have include:

    1. Content for “Eye Emergencies” and “Retinal & Oculoplastics”.
    2. Updated Doctor Bios and images (Dr. Hovis and Dr. Nayar have already been provided)

    2018-01-08 | charles.b
    My Response:
    Hello Dr. Burton,
Thank you for the update, I look forward to their feedback!
Just to keep in mind; If there weren't any major requests in regards to updating content or images, I'd suggest that we make the website live so that the site and its content can begin to be indexed by various search engines. (Content and images can be actively changed, even when the site is live). The sooner this is done, the sooner the site can become an effective marketing tool for the practice!
    2018-01-08 | charles.b
    Response from Dr. today:
    Good morning Charles!
I do not have anything additional at the moment. I have sent the request on to the doctors for content on the Eye Emergencies and Oculoplastics/Retinal sections. I am waiting for a response from them still.
I also do not have any updated images from the doctors yet either.
    Thanks,
    Robert G. Burton

    Hello Dr. Burton,

Here are links to our content library to everything we have regarding Optometry/Ophthalmology – I have everything from these two pages included on your site at the moment, but if there were any articles that you would like me to remove, just let me know which ones and I will do so. Also, the content in these articles are available for you/us to further customize if you’d like, as we know that many specialties offer similar services, but have a different approach.

    http://content.360sites.net/category/optometry/

Regarding the patient forms, I was able to migrate everything that you had on your current site. In fact, I migrated almost all of the content from your current site and input it in the appropriate areas – I thought it would be easier to see everything on the new website we’re developing, to decide what to keep/update.

Thank you for the information and update!

    Thank you,
    Charles

    Belinda:

    – cannot see logo top left………
    – i don’t think we should use this effect. please let rhythm know. we’ve used it before, but it makes the slides blurry and looks more like a bug than anything else.
    – nav; patient login should open in new window. please use this as best practice as we want the patient to stay on the website for as long as possible.
    – contact us: too many columns for locations, makes the map small and you can’t read the text.
    – http://robertburton.360sites.net/optical/ – better to put the content from the following links on the same page since they’re only a paragraph long
    – insurance page — there’s insurance info on the office page, essentially we should get rid of our stock content
    – financing – same comment as above
    – overall the content pages needs images throughout

    Des:

    Hi Charles,

Along with what Belinda said, here are additional fixes:
HEADER – either push the hero image down so there is more black space in header and more room for the contents within the header or tell devs to increase black space in header at the top
FONT – font throughout website looks blurry
HOME; FEAT. SERVICES – link each title
HOME; SPECIALISTS – all doctor images are blurry; resize or replace
HOME; WELCOME – replace our stock video with one of theirs if any
HOME; LOCATIONS – address should be moved to next line for “La Grange”; move “Columbus” to the next line for “Sealy”
MEET THE DOCTORS – add each doctor name/title above each paragraph as a heading
ABOUT US; FINANCING – “click here” is not linked
ABOUT US; EMPLOYMENT OPPORTUNITIES – employment application should be linked in a new tab; first paragraph is spaced/organized weird
LINKS – all links should be linked in a new tab
CONTACT – move address to a new line; phone #’s still need to be linked
MOBILE; HERO – decrease height of hero image; hero image needs to be zoomed out
MOBILE; FEAT. SERVICES – decrease size of each box so there is 2 in each row
MOBILE; INNER HEADER – decrease height by 30%

    Hello Dr. Burton,

I wanted to follow up and see if you had office/updated staff images available that I can utilize for the website?

Also, I will need you to provide content for “Eye Emergencies” and “Retinal & Oculoplastics” as we do not have content regarding these in our content library.

I should have the website ready for you to view early next week.

    Thank you,
    Charles

    Hey Charles,

I do not have updated images from the Doctors yet.  For the content on the Eye Emergencies and Retina I will look to see what I can find.  Do you have a list of your content that I can look at to see if some of it will work for us?

Attached are some of the Patient forms we use:

New Patient forms in English and Spanish:  1_NPF_Packet_English and 1_NPF_Packet_Spanish

    Patient Notice of Privacy Practices

    Medical Records Release Form

I will see if there are more that we want on the website and send them as I get them.

I have one updated Bio from Dr. Hovis as follows:

Dr. Todd Hovis graduated from Baylor College of Medicine in 1989, and moved to Columbus, TX in 1993, after completing his ophthalmology training at the University of Texas Medical Branch in Galveston.

Dr. Hovis specializes in cataract surgery and has performed over ten thousand eye surgeries.

Dr. Hovis lives in Columbus, TX, with his wife, Betty, and their children.

I will get other updated Bio’s as they come to me.

    Thanks,

    Robert G. Burton

    Hello Robert,
I'm glad they like the design!
It sounds like we are happy with the overall structure and colors being used, we can move onto the development stage if you'd like?
In this stage, our developers will input functionality within your website and I'll be inputting content for the inner pages. Afterwards, I will provide you a link to your temporary domain where you'll be able to navigate through/ review the different pages of your website and make further changes to content and imagery if need be.

    Notes | 2017-12-06 | charles.b | #108697 |

    Het Charles,

Here are a few of the comments so far:

They are not real excited about the way the logo is incorporated. Maybe the Logo without the white box underneath – transparent ? Open for suggestions. Does the Logo stay on the page as the user scrolls down the page?
On the Featured Services section, the Glaucoma has text instead of a picture. Is that the way it would be or is that something that comes up when it is hovered over? They would prefer the frames to all look similar (all pictures).
The Lasik section would need to be removed – we do not do Lasik anymore.
The UTMB link under the Doctors would need to be removed, we are not allowed to have it on our website.
On the Maps section, under the La Grange office, the Pushpin shows 108 N. Washington (Our old address). It should show 124 N. Washington and if you look at the map, you can actually see Columbus Optical that is in the correct position on the map.

I have sent it back to them again to comment on the colors and the overall concept and I will let you know more as soon as I find out.

    __________

    Thank you for the feedback!

    1. Would the doctor like the logo to stick to the page as a visitor scrolls? – similar to how the menu bar of http://michaelpeelle.360sites.net/ does? If so I can incorporate the logo in the top left corner and have it shrink to fit within the dimensions of the menu bar so that it will also follow the viewer as they scroll down the page.
    2. That is correct. It would be an image like the rest of the services. This is just to illustrate how it would look if you hover over the each of these image buttons.
    3. This was a promotions section. Would you still like me to remove the section altogether or replace the promotion for another procedure?
    4. Confirmed, I will remove this from the design.
    5. Confirmed as well, I will replace the current map with the correct location.

And thank you, I look forward to the Doctors feedback regarding colors and overall concept!

On the Logo, I guess I didn’t realize that the pictures would be rotating in that section. I think having it on the Menu bar would be great and maybe they would be happy with it just there. They are not a fan of having it on just the big white background so I’m wondering what it might look like if we changed it from a square to maybe the shape of an eyeball and made the color maybe something like a transparent blue or something like that? I’m thinking they might like to see a couple of different ideas on this part.
They are good with the overall design and colors otherwise.
    2017-12-07 | charles.b
    Hello Robert,
    1. Yes I agree that having the logo visible for visitors to the website at all times would help with brand recognition as well as offer them an opportunity to return to the homepage by clicking on your logo. Also, did you want to remove the white box behind the logo altogether? (the white box helps it stand out over the pictures as the image slider toggles through different pictures - or did you just want the box a little more transparent?)
    2. Regarding the promotions section, confirmed, all go ahead and keep the section but change the service the promotion pertains to.
Regarding the overall design, were there any other edits you would like to see in the next design draft I send you? Item #2 wouldn't be visible until we move into the next stage, development.

Notes regarding Fillable Form and Employee Login
    Notes | 2017-11-27 | charles.b | #106693 |

Robert had mentioned they were considering a fillabe form for patients to fill out – let him know through us it will be an additional charge (didnt give him pricing) Also mentioned that they can use a 3rd party service as well which we could integrate into the site.

Notes from Email Robert had provided:
    Patient Forms

    Diseases:
    Glaucoma
    AMD
    Blepharitis
    Allergies
    Diabetes
    Pterygium/Pingueculum
    Amblyopia
    Dry Eye
    Flashes/Floaters
    Retinal Detachment

See this lens IOL survey: http://www.houstoneye.com/houston/premium-lens-self-test.htm

    Regarding Employee Login:
Right now they are using a password protected Excel sheet for employees to access work schedules – Ill have to take a look at the current set up to siuggest something better –
*** Right now, im considering using a password protected page which they can update the information through the dashboard.

It was great speaking with you earlier today.
Thank you for the information. I wanted to request if you had a logo file that I could use for the website? Preferably in svg file format. if not a png or jpeg will work.

    – Have 2 domain names: columbuseye.org and columbuseyeassociates.com – of which .org is being forwarded to .com.

    – Likes a sectional layout – had noted that thomasschweitzer.360sites.net they had liked the overall layout of this website – I had asked if they wanted to replicate the scrolling effect of the site. He had mentioned one of the doctors really liked it but it’s ultimately a group decision (Will give my opinion as well) – Told him I will follow up concerning this before we move into development.

    – He noted in site examples specific aspects of particular websites he had liked – ***Include these aspects in the design

    – Wasnt sure about the color – *** have to reference our color tool on the questionnaire – Noted as greys, monochromatic and Neutral

    – Didn’t have specific imagery concerning Columbus as he said it was somewhat rural.

    – Robert noted that they will have updated doctor images taken, which he will provide once they’re available.
    – Had mentioned that there are 2 other Doctors that are in the office only 1 day a week – they were deciding on whether they had wanted to list them in the website as well.

Create sectional design, including notes they had mentioned regarding particular additions they had specified

As far as I have seen, everything with you is month to month based correct? There would not be an annual contract or a specified term correct? If we decided to go with someone else in the future for SEO and Marketing would there be any problem with us moving the content or anything?

    Question Regarding Content
    Leads | 2017-10-17 | Danny | #96480 |

“Well darn, I thought I was done with the questions! Could you remind me about the Patient Education Library please? That was documents for the different Diagnosis I think? Was that all documents that have been written by Optimized360 or were those documents that were from somewhere else? How would they be incorporated into the website.. by links to them or actually put into the website? Downloadable by patient? I think also those would be approved by the doctors after their review? Sorry, I have talked to too many different companies on this now that I have forgotten who said what.”

    2017-10-17 | danny.n
Called Robert, this question was sent 5 days ago (including weekend) so i had called instead of replying to let him know it was somehow lose in our long email thread. Told RObert that the content is provided for them which dr can rewrite the verbiage however they want cause we understand that not all drs have the same philosophy even though it is the saem procedure or services. Told him thats the benefit of working with a healthcare company is that not only we do the design but also provide the rest of the work which is the content. vs dr having to provide for the web company designing the site. Regarding the downloadable form, told him that post-op or other material can be put in a pdf file for patients to download at their convenience similar to them giving them the paper after their treatment at the office. He was very appreciative of the call and stated he will try to update me more as soon as he followup with dr. VERY NICE and friendly.

    Updated Quote
    Leads | 2017-10-12 | Danny | #95529 |

    2 installments of $2,499 ($5,000 total) and $499/m

“Thanks for the info Danny.. good stuff! I think that since we do have the one office in the outskirts of Houston (it’s right on the border of Katy and Houston) that they are looking at the SEO and social media a little bit more for that office. So, I am trying to get a good number to compare against them. iMatrix is offering an initial setup of $1000 and then $699 per month for their “Premium” service.

    Thanks,
    Robert G. Burton
    Chief Operating Office”

    2017-10-12 | danny.n
sent him a long response pointing out how these template based companies structure their pricing with low initial and higher monthly fees. I quoted him form original discussion the "platinum" without logo & social & video... with 360 monthly. Pointed out how the $200 difference of our $499 vs their $699 in 2 years ($4,800) how much they'll be paying in comparison to our $5,000 initial. And that each consecutive years, they are paying $2,400 more compared to our annual. And the site is not theirs so ours is an investment vs iMatrix it goes away what they had paid. Told him as well they are able to charge $1,000 because it takes them minutes to throw in their information on to an existing template theme.

Response from Robert’s meeting w/ Drs
    Leads | 2017-10-12 | Danny | #95486 |

    “Good Morning Danny,

So, they have some back with a couple of questions and also, they came up with another company to look at. They are looking at iMatrix for design and marketing. The upfront cost was considerably lower, but the monthly cost I would suspect would be about the same if we did the SEO and Social Media with you. I realize that iMatrix is a Template design and I have made the doctors aware of that. If you know of them and can point out some of the differences, I would appreciate that.

As for the questions, on the Social media could you tell me what is included in the $29 per month please? Would it include any custom content or blogs written by Optimized360 or does that just get it to where we would post the content? iMatrix is apparently offering weekly posts on all three channels and monthly blogs.

Also, I know you said there was a company that you worked with that offered videos for a subscription that could be incorporated into the website. I would be interested in getting in contact with that company to see what they have to offer as far as Ophthalmology is concerned. The doctors may want to go with this option rather than us buying the videos from AAO like we were planning to.

I know we have been looking at the pricing of the Gold plan but with the doctors now asking about the SEO and Social media, would the Platinum or 360 Plan be a better option for us? If so, how would that affect the pricing?

Basically, it is down to you and iMatrix right now. Everything else has been thrown out so it comes down to comparing the differences. I have told the doctors that I though Optimized360 would be the better option because I think you have been very upfront with me so far and were very easy to work with.

    Thanks,
    Robert G. Burton
    Chief Operating Officer”

    2017-10-12 | danny.n
responded to Robert pointing out the differnce between them and us which he is somewhat aware based on his comments here. Gave him pricing on the other package along with the a-la-cart item. See email response today. Overall, it was $29/m for Social per his question and $100/m per article written.

    Company Comparison

“Thanks Danny, I appreciate it. We do not have a Google Analytics account that I am aware of but we do use them for our email hosting so I will have to look into that a little.

The other companies I have look at are:
    Glacial Multimedia
    WebtoMed
    iHealthSpot

There were some others, but these we probably the ones I looked at more in depth with.

Just so you know, I have made the recommendation to the doctors to go with you so I am just waiting on the feedback from them right now. I do expect one doctors to contest it but I will deal with that when it happens.

sent robert a f/u to see if he discussed with the drs and if there are further questions.
    2017-09-12 | danny.n
"Thanks Danny, As far as the three companies go, Glacial Multimedia is pretty much out of the question from my standpoint. Definitely not a low cost option with them at all. In fact, they were at the extreme high side. They are a company that was recommended to one of our doctors though so I have to follow it through. I received a quote from them about two years ago and now they have at least doubled that quote and everything is an add on option with them. The other two I was aware that they are a template based start. iHealthSpot has not been able to even provide me with the formal quote yet because they were having trouble with the videos from AAO that we would possibly like to incorporate. They didn’t see how they could do it and when I started asking questions about it, I started getting some like they would contact AAO about it to see if it was in one player or not. Kind of sounded like having to link a few videos was going to be a hassle for them. They are not a low cost option either from the basic packages I saw for them. So far, you are the best value for our money and that is what I recommended to the doctors. I’ll keep you posted as to what happens. I know for every one question I have, they will come up with 20 each that I will have no clue on how to answer them!"
    2017-09-12 | danny.n
pointed out to him the difference. Told him Glacial, never heard of them but they are more of a marketing media company and based on what i saw, they offer custom design. The other 2 companies WebtoMed and ihealthspot, i have heard of them and are not comparable. They offer custom design as well and that we had quite a few who have switched over to us from them in the past few years due to poort support and being charged for services they thought as included.

    Additonal Question
    Leads | 2017-09-12 | Danny | #86798 |

    “Danny,

Would you do me a favor please and let me know what the $99 monthly covers? I know it covered the web hosting and some maintenance. I know we talked about it, but I would like to have something more to give to the doctors on this. Did that include any minor updates to SEO or anything?

Also, I know you said you had copy writers on staff as well. Was that included in the with the design of the website or is there an additional charge for that.

I’m sorry for the questions, I know we talked about them but I have talked to several other companies and some of it is running together.

So far, my recommendation to them will be to go with you and I just want to make sure that I have some of the bases covered when I start pushing the doctors to go in this direction.

    Thanks,
    Robert G. Burton

    Phone Conference
    Estimates | 2017-09-11 | Danny | #86265 |

Called Robert per his email response stating he’s not in the office but to call him on his cell.

Spent 40 mins over the phone. He’s working to help Dr redo his current site. It is over 10 years old. has multiple locations.

Pointed out to him all the issues they have on this site and what we can do to improve it. All the locations except Houston is competitive. He stated he doesn’t meet eye to eye with the drs with marketing cause dr states that the other lcoations, they have no other options but to go with them. I told him i agree to a certain extent if they are on the 1st page which they are. The houston one is the important one which i had recommend doing PPC for. He’s heard of it and may consider in the future.

Not lookign to redo logo but will be integrating Social in the future after they setup.

Went over what we do when it came to QPS and how competitive it is.

They are ophthal (specialist) which I had pointed out how patients will type in Eye Doctor not that keyword even when they search which he liked and agreed with me.

Went over videos which he stated they will get from AAO to use on site and in-office. Told him about our option with SWARM which is about $70/m. he will explore his options.

Sent him contract to review. looking to get it done by the end of the year.

He also mentioned he liked 1 of our clients example I had sent him the effect how you scroll each section slowly decrease in size. Didn’t like it at first but he changed his mind thought it was cool: http://thomasschweitzer.360sites.net

called.. lm on vm. sent dr a f/u to see if he received my response to his last question.
    2017-10-19 | danny.n
replied and confirmed with him because he has ownership with no contracts with us, he can opt to host it elsewhere anytime in the future. pointed out to him how this is a valuable feature that template based companies will not allow.

VERY NICE and friendly.

sent him a long response pointing out how these template based companies structure their pricing with low initial and higher monthly fees. Told him as well they are able to charge $1,000 because it takes them minutes to throw in their information on to an existing template theme.

responded to Robert pointing out the differnce between them and us which he is somewhat aware based on his comments here. Gave him pricing on the other package along with the a-la-cart item. See email response today. Overall, it was $29/m for Social per his question and $100/m per article written.

told him its great that he has someone that is proactive in pushing the dr in general cause they are busy and if it was left to them, every project or decision will lag. Showed him a few more recently developed sites from other specialties so he can see our capabilities. Also pointed out how on top of our high quality work, we offer grea support which is evident in our reviews. Told him i''ll touch base with him on Friday via email

"Hey Danny, I am still waiting on one Doctor to respond. I’m going to give him over the weekend to review it and if he hasn’t replied by Tuesday, I will move forward by asking some different questions of them. As soon as I know more, I will let you know but so far, I do have majority approval to go ahead. Just waiting on some questions I have asked of them also. Thanks, Robert G. Burton Chief Operating Officer "
    2017-09-15 | danny.n
sent robert a f/u to see if he discussed with the drs and if there are further questions.
They offer custom design as well and that we had quite a few who have switched over to us from them in the past few years due to poort support and being charged for services they thought as included.

told him we can provide up to 10 custom written pages. We have different versions of library avail for our clients and many of our clients rewrite what we provide. Told him GA is embedded by default and they will have full access. Poitned out to him so of the main data GA provides.
    2017-09-12 | danny.n
"Thanks Danny, this will help. On the copy writing, was this included to some extent or is there a basic charge for that in addition? Google Analytics? Is that a dashboard where we can see how many people are visiting the site and what kind of device or something like that? "
    2017-09-12 | danny.n
sent him a long response with the on-site features that is included at hte time of the development. Told him if he likes, send me what others are offering or tell me who so i can point out to him. Thanked him for putting us at the top of the list of recommendation for the drs.
