I just left a message with Sarah, but wanted to send you a short email as well.

I spoke with Desirae regarding recent issues regarding your website and upon reviewing your accounts in total, I am truly sorry and embarrassed as to the quality of work that has transpired. In my 8 years of being here, I’ve never seen recurring issues such as this. As a result, we are making necessary changes within our team and holding those accountable for inexcusable mistakes. Again, I apologize for delivering an incomplete product and taking time out of your busy schedule.

I wanted to discuss with you in moving forward; when is the best time to reach out? I’ve already removed all monthly hosting charges from both of your accounts for all of 2018; you should not receive any charge or bill within the next year. Regardless of the charges, I still would like to speak to you to ensure your websites come to full satisfaction.

Spoke to Dr. Barres again, she is not changing her mind and feels they're beyond anything that can be fixed. She said she wants to part ways amicably and does not want to fight during this process. I offered that I will personally manage the account; she said yes, only if i were the first person she spoke to. She doesn't want to go online and make sure others don't experience this (reviews) and she'd hate to call the CC company. I also explained part of the reasoning of not full refund is that the site has been developed and resources has been put into it. She takes the site as a whole and understands from a business standpoint that it takes money, but also as a business will own up to mistakes and make things right. Told her that our business is hurt as we have an unhappy client and I as a lead role, am taking full responsibility in our team restructuring. She feels bad but still wants to be at peace with this. Told her my superiors are not in the office for the holiday but I've already tried to plead my case and could not get an approval. She said she wants to speak with someone that can offer a refund; again told her I will rely the message but i cannot promise that result. I can promise redoing the site, but she did not want it.

Initially spoke to Dr. Wendling and he's disappointed that it has come to this. Dr. Wendling decided to let Dr Barres (partner) speak and she's mentioned a slew of things that has gone wrong and does not trust anything that we do. She brought up three specific incidents:

1. Incorrect telephone number (on second site) -- we missed this as we did not know there was a second site

2. Custom Biography: first bio had grammatical errors, second rewrite continued to have wrong information. For example, it said she had a 'bachelor's' degree.

3. Beginning of design phase: she had requested Jan to change color of the footer to grey, but after three attempts the design still did not have grey in that specific area she had requested.

She apologized that the call has to be like this and understands its not be personally. I told her, it does not matter, I am a representative of this company and anything that transpired is as a result of our work. I could not defend any of the issues or complaints. She didn't let me talk much as she feels that this relationship is over. Told her I am not authorized to give refunds but I will speak to my superior regarding this and make it right. She said to connect her to something that will approve of the refund; she has over 40 employees that all have Gmail accounts to leave reviews. It's unfair that she has to go pay another website company $7k when she's paid us and does not have a product. Tried to assist her with the next chapter by facilitating a starting point to connect w new webmaster (whenever that maybe) to transfer files, utilize PSds, whatever we can provide to make it easier. She understood that she has ownership but doesn't care about what's been completed; she doesn't trust anything that was created. Apologized again and there's no excuses at all. Told her I'll talk to my manager today and get back to her today or early tomorrow morning; she's available before 10am PST (offices closes at 1pm EST time)

Called and LM on office #. Called Dr. Barres’ cell and was able to speak with her.

She explained a lot of her frustrations/concerns regarding both websites that seem to have sprouted from the very beginning…simple changes to the design that were not done, wrong contact info, misspelled doctor name, grammar errors, etc.

I offered to take over both websites as they were on the verge of canceling. She appreciated me reaching out to her and we came up with a plan moving forward.

My name is Desirae and I am a supervisor here at Optimized360. I spoke with Dr. Barres today to address her concerns & frustration regarding both websites. Again, I apologize for our mistakes and I will be taking over from here on out.

Here is the plan Dr. Barres and I discussed moving forward:
-I will be going through every page on both sites to make sure all contact info and spelling of the doctors’ names are correct.
-We will rewrite the bios for you once Dr. Barres can send me updated notes to include for each person.

Dr. Barres called in – said she was upset because she asked Jan and emailed him multiple times (no response) to add sedation dentistry to the services page — still hasn’t added. She said I can give you the dates of the emails as well if you don’t believe me – told her do not worry, I will have Jan update this for her and cc me in the email

She also mentioned to him that the two video thumbnails on her Home Page, once clicked, it says Marketing as the title. This has not been changed yet as well. She mentioned this to him multiple times (she said).

She told me in terms of issues like this, who does she talk to – told her Jan is her project manager who knows the status of her features and site etc..

She can speak with me regarding product information.

She wanted to target Buffalo DEntist as well. Told her this is a very competitive keyword. Adding this keyword to the site would not help much. Advised her to do PPC which would be the best and she can see results right away.

Told her I could add keywords but it would Dilute her SEO and I don’t want to make any promises that adding pages and keywords would help.

She understood – she just wants her site updated with what she had asked.

They are either sponsored or not supported. We only use technology that is provided by reliable and tested sources.
