I responded back last night if this is related to the other billing email the other day which I had responded to her already. Not sure if she got it. Basically she was charged twice and it was because in Feb, her credit card was declined. Told her I will talk to Accounting to verify 1st thing tomorrow morning. Told her if she can be specific with what she is saying so i can take a look further into it.

Spoke to Chandra, she looked at the transaction and everything is in line. She sent me her transactions which responded back just now showing her the transaction.

NOTE: Dr has a history of this type of reaction and response to me/team. Dr is very nice but has days where everything is fine and appreciative and another day gets things out of control. Been dealing with this since dr switched to us in Nov last year. Dr switched cause she wasn’t happy with the other company. Dr loved the site, there were some issues during the design process that was not on our end but on hers but it was situated after it was explained. Dr started marketing as well in/around Dec… a month later in Jan, she complained about no results and wanted to cancel. I pointed out to her that it just started and this is when i realized that it is a trend that she has where she just switch companies. Dr agreed and understood to stay after i pointed out to her that if she keeps switching like this, she will not get the result she’s looking for with SEO which needs to be consistent. Been working with Dr all of Feb on changes and suggestions that i’ve recommend. Dr was very appreciative throughout… until recently this again with the billing where she made a big deal here.

It was not a good choice as most patients scheduling were our own already existing patients.

Also the very few new patient we obtained through zocdoc had insurance and for that i dont need to pay because we already are in network with over 10 companies and patients find us through their insurance page.
Zoc doc optimises words like:met life dentist,or delta insurance dentist.

Thats why we have local med scheduling system.
Its a lot more affordable.

We are looking for marketing of FEE FOR SERVICE PATIENTS.

Dr. Laraway,
I understand your concerns and respect your decision.

We don’t just develop the site and leave our client’s hanging they way you think when it comes to the Marketing aspect. Your AD is visible whenever you research so it is in front of all the audience in/around your area looking for a dentist. This is the Google Adwords.

For SEO, it’s only been less than 2 months which is definitely not enough time for results. Like I had previously mentioned, if you keep changing, this will restart the entire SEO process.

Per your request, below are the billing cycle for your SEO & PPC. Please let me know how you would like to proceed in that regards.

SEO: 6th each month (SEO started Dec 6th)
PPC: 6th each month (PPC activated Jan 6th)

As you can see, the PPC only active for a little over a month. Generally, it’s around the 2nd month that you should see some results and it picks up more.

Would you like to pause the SEO and PPC on March 6th?

Client consistently requests for me to grab content/images from other websites. Even though she claims she has permission, I have not received an official consent/permission form from those other websites. She also claims that her previous website designer, John, has been able to use content/images from other websites. I have sent the following email to clarify (with the guidance of Dr. F):

Dear Dr. Laraway,

Thank you for your email. I did receive it and I understand your points. I am here to help and make things easier for you. My suggestion is that we will have our copyrighters rewrite content on the subject so it is original content without any copyright issue, we can also use images that show the result of the technique.

As far as getting the content from other websites, the issue here is that having a product or being part of a group that uses a method, is different than having the ownership of the material related to that. This has caused major legal issues in the past. I even double checked about your request of copying content from third party sites. Management was very adamant about this. Our company and our clients in the past have been the subject of copyright lawsuits exactly for doing what you are asking us to do. The issue is not the company who provides the content/images, it is the models and photographer themselves!

That’s why we can’t do this and recommend you not to do it either. In both cases, we won’t be able to copy content from a third party website directly. This is a policy that all reputable web design companies adhere to. If you do have a written permission from a third party to use their content, please provide the content as we won’t be able to pick it up directly. If this explanation is not satisfactory, I can arrange you to talk to Dr. Sean who is in management and a dentist himself and can explain the issue more in details. He personally told me that one of our clients had to pay a settlement of $50,000 just a few weeks ago because of copying material from a website she thought is part of her continuing education course. Another example he mentioned was a multi-million dollar lawsuit against Zoom whitening clients who used their images because models claimed the permission was for Zoom itself and not the doctors. A big reason we do this is to protect our clients from the headache of lawsuits when other alternatives are available.

This needed to be addressed with Dr. Laraway as she has been sending me a consistent amount of emails with many website edit requests that are not clear. Also wanted to clarify that if we keep adding to the list of edits, the site will not be “finished” by Christmas but is ready to go live.

The hardest part (design and development) is over, and all we need to do now is continue to customize your website, which will always change and will take some time.
