    Process of Cancellation

    This client had history of issues which are not valid. Its a good idea to let client go. Told Dr. Juma to let me know who her contact over there so we can coordinate to send over any credentials and files.

    Also told dr that we have stop future charges and that she will need to let us know to officially cancel (was charged last week for $500 but we will not credit since site still active until things are situated over there). Explained to her hosting will still be active and she needs to let me know when they give her the ok to let us know to remove the site from our server to prevent any downtime.

    Spoke to dr per our scheduled time. She had a few mins before her patients. Had a bunch of last min walk-ins which is good.

    Dr mentioned that she had a few patients stating they found her online which is great. She was happy about that. Told her that it is gaining traction which i had emphasized to her last month when she started PPC/SEO in late Dec. Wanted to cancel at the time.

    Dr stated she’s been talking to a lot other companies which pointed out flaws. (this has been going on for awhile which i had fought off) Doesn’t make sense talking to competitors cause there will always be issues they want to point out. She pointed out 1 thing they said was the Services should be drop down to show all the service selection… complained that this was never an option presented to her. told her the About US tab currently there has that option which means she knew it was available. Pointed this out but dr was still sticking with her comment that it was our fault for not showing her it was avialable. It wasn’t worth arguing with her cause Dr feels she’s always right based on all the convo i had with her in the past.

    Anyhow, got some revisions she wanted, created a ticket below for the team She’s overall very nice but easily manipulated by other companies.

    So when exactly do the new blogs come out? And what are you guys doing for SEO for me? You gave me a list of keywords, these keywords are for PPC? or for SEO? All this is very confusing. I am trying to take time to learn and understand all what my site is missing, and just feel like my website is put on the back burner. When do the monthly blogs go on my website and facebook? Once a month? If so, when this month will this happen? Where do you get your content from? And how do I know if it is not redundant, and copied?

    When we discussed the 5 mile radius for PPC, what areas are this covering? I want Sunrise, Plantation, and Tamarac to be in my radius of searches…is this occurring? What keywords for PPC are being used?

    The site has no call to action button? I would also like a chat, and a video on the front page. The phone number/address should be more visible to the user. Also, why is my website not optimized to my name? Instead it is to “Dr. Juma”; it should be for ” Dr. Zaileen Juma”; the promotion page isn’t clickable/user friendly. And supposedly, the meta data on my site is optimized for Dr. Juma, and not Dr. Zaileen Juma….why are there so many issues with my site?

    – Dr. Juma, your name is optimized for your entire name. If you look at your profile page, your name is reference here: http://wellebyfamilydental.com/about-us/ – Yes, the metatag doesn’t have your name “Zaileen” in there which is fine since your name is reference in the body of the page. Your name is quite unique so you shouldn’t have any issues with other conflicting drs with the same name.
    – Based on your comment “meta tag”, I am assuming someone is telling you these things pointing out “issues”. We have been doing this for over 12 years and this is our area of expertise. When it comes to SEO, we are on top of it. For our own company’s SEO which targets the entire world, we are showing on the 1st page of Google ourselves so that should prove to show our knowledge in this realm. If anyone has suggestions on changes to your website, please have them contact me directly. I would be more than happy to listen to their feedback and coordinate with them if you wish.
    – Regarding the CHAT feature and video on the front page. We would be more than happy to implement these features for you. If you have subscription to the CHAT with companies who specializes in it, provide us the code once it is setup on their end and we will embed it for you.

    Overall, i understand your concerns which I am glad you are addressing them to me so I can clarify. I can assure you that this is a competitive market not only for you but also for us. There are a lot of “Marketing” companies out there that will tell you things, promise you the world, etc. but you should be careful cause not all of them are as honest as our company. Many have made mistakes and it ended costing them a lot of money.

    With regards to the mareketing, you had previously mentioned potentially pausing it. Do you still want to so I can coordinate with my marketing team to pause the PPC/Google AD and the SEO?

    Dr sent me a few emails (3 total). This was one of them. I replied back to each one clarifying.

    dr had feedbacks from a few competitors which I had pointed out that that would be completely bias, of course they will say negative things.

    Reminded dr that I have been in communication with her strategizing marketing, told her we discussed this on Dec 23 hence why she agreed to start th SEO & PPC. I spent well over 30 mins talking on the phone with her.

    In her other email, she showed me this site which is very out-dated and congested: http://www.wholelifedental.com/meet-the-doctors.html She complained that our site is “congested”. I pointed out to her some of the issues on the site she thought was “interactive” compared to ours. Based on that example, it had icons and affiiations which is lacking on her website whcih she pointed out in 1 of her 3 emails. I had opened a ticket for her for this. Overall, its a matter of communication based on her feedbacks so we can adjust which she hasn’t. She assume that we just grab things and do it out of nowhere. For example, she complained that we should’ve just search for her photos online and add it to her site.

    There are other things she pointed out that is valid for example he request to remove her father’s email when receiving the monthly reporting which he still is receiving.

    Dr overall is very nice but easily manipulated, listens to what others tell her.

    I have spoken to various website companies, and have done an evaluation on my website that Optimized360 created. Unfortunately, I do not feel that your company is putting enough attention to my website. There are many things wrong with my site, and for it to be pointed out to me from other companies about certain things that are lacking on my site that should not have been there from the start.

    There is way too much text on my site, it is redundant and boring, and honestly patients do not want to read as much text as you have on my site for the services. There is no drop down menu when you hover over the categories. There is not even a “contact us” that follows the patient through the site. Even the adwords are not sufficient enough to attract people to my site. I told you from the start, that I need a company that will do things for my site that will attract patients, and you guys seem to have just done the bare minimum, while I am paying for a service that is not even optimum. Even the analytics are still being emailed to my father, I have told you guys numerous times to send me emails, and take him off your list.

    I had sent a commercial I did with CBS4, it is not even on the site. There aren’t even meetings to discuss the analytics of the site to evaluate how it is doing. Optimized360 lacks interacting with me, to positively move forward with getting traffic to the site. When was the last time the social media was even attended to? No posts on instagram, none on twitter. So what exactly am I paying for?

    Dr had emailed me requesting a ph conf regarding marketing. She was finishing up a 6 month contract with a marketing company paying over $2,000/m which did not give her any ROI. They are now telling her to do SEO, phone tracking, reviews (they get from patients and upload to yelp, etc.).

    I went over with her again about the contract with marketing to avoid whcih she said she knew only after i spoke to her but this contract was before she found us. She said she trusted me so she wanted to talk to me first before she does anything.

    Gave her a lot of pointers to avoid and other ways to approach it which makes more sense which she liked my idea. Told her SEO is effective and what they are saying is correct but their technique is not correct (ex: blog is generic).

    Advised her to do Advanced SEO and Blog (custom). She had a budget of $500/m which she wants to do in addition to PPC that we are doing. Wants to start that Jan 1st.

    Go more for the open and brighter/whiter site like theplazany.com Make sure it is elegant and high-end.

    (http://www.beverlyrosedmd.com/) Talked about this site, she only provided it via how the information is organized and asked if she liked the scripty font, she does.

    (http://www.dentistryofmiami.com/) Like it for mostly the logo, discussed the layout being cluttered. Talked about how the logo seemed to stand out when on main banner.

    (http://www.leslatnerdds.com/) Said her father liked that one, but she doesn’t. We didn’t discuss further.

    For logo:

    Discussed Beverly Rose. She liked the scripty font. Talked further on the imagery not being related to dentistry. She would rather have something related to dentistry like NY. Talked about Miami. She likes how this looks in general even without imagery. She would like imagery however, but as something not as the main focus. Talked about having her logo have “Welleby” as the main text and under it having “Family Dentistry”. She agreed.

    Overall she is very unsure about the logo and it is what she feels is holding her back in visualizing the website. Told her we would start on the logo first then do the site in case the taste changes. She agreed.

    There are various logos on the net. Why this is not included.
    2.You are not getting Social Media. Face book and Twitter.

    My discussions were clear with Danny and I told you, to further induce us to sign off with Danny, we wanted Platinum package at Gold package price.

    8. Beside $99, a month, you have budget for GOOGLE FROM $500 to $1000., a month.
    How they allocate to what break downs and what goes to “GOOGLE” was an issue and Danny said this is our business, how HE spend where?
    They can assign only 20% of this to Google AD, rest can be claimed as Misc. expense.
    This you have to talk to Danny in writing reply, how is monthly “ASSIGNED” BLANKET GIVEN.
    BECAUSE NO WAY CAN THEY MAKE MONEY ON $99 a month. This blanket assigned monthly fees is how they make reoccurring income.
    Copy and print and abd keep in front of you to ask these questions before signing off.
    Because, time you spend his two installments , logo, Production videos, other items he has sent, you may be way above budget compared to three others.
    Calmly read all three proposals. Ask these right Q. To both. Fri and Sat are good days For you.
    Please, google logos. Or talk to Danny Post card guy, they have very reasonable logo fees. Not willing to pay $750 of Danny of 360.
    Lastly, get three phone of his clients, time to make phone calls.

    Called Dr. Juma on her cell per Jim’s request to discuss the project. She was very nice. She was saying how her dad is a character and is very detailed and does a lot of research and liked talking to me cause I am not too pushy like other companies.
    She wants to get the site done soon cause she wants to focus on marketing and knows nothing about website.
    Went over with her how the design process works and streamlined it was on her end (her concern which i assured her). Pointed out to her the importance of a website how it maximizes visitor conversion.
    Convo went great. Dr stated she will talk to her dad today to finalize and get started soon early next week.
    Also asked about Logo, quoted her $750 which she will own.

    Called Jim back on cell to let him know the convo went great. Jim wanted to make sure Ownership was included in the Gold which I told him its $4,000 not $3500 but Jim wanted it to close the deal and it might be a dealbreaker. he was ver nice and pleasant to talk to and a good future client so i authorized it.

    Sent updated contract for their review to get started.

    Jim called and lm for me this morning. He’s been really busy and stated he didn’t forget about me.

    I called him back, we had a 45 min ph conf. He spoke to a local guy but didn’t like him cause he sounded too much like a car salesman which he hates. he really likes our company and wants to ask a few more questions before he leaves the country on Saturday. He will try to squeeze in a ph conf with his daughter this Friday before he leaves to wrap it up.
