    Reading through the website, I noticed the following mistakes. Even though the copy is clearly cut and paste it is disappointing to see that things are not proof read before they are put up. The website is sometimes the first introduction that a patient has to our practice and this to me screams of sloppiness and inattention to detail.

    Below are some of the things I found:

    Unsatisfied with Service

    Dr. Jones called, very unsatisfied with the services so far
    1. the recent ticket that Rod was working on which took almost 2 weeks to do.
    – seems to be an email communication issue not seeing attachment which is what I had brought up to dr. looks like they got frustrated.
    2. Home page: Invisalign button has 2 older couple which does not reflect invisalign (younger couple). Cosmetic Dentistry button has Sedation image.
    3. Video spokesperson: explained to dr the current legal issue that we are preventing from for our clients. told her we can credit her $300 towards this service if she find a company to do this on her own. Dr understands we are looking out for our client but just feel we’ve been not living up to the services she had signed up for. (seems just frustrated but understands).
    4. Needs the fb login credentials which she has asked before
    5. stated that a few people has called her for feedback. Dr said that she felt if she didn’t have anything good to say, she does not want to talk to them.
    6. Content – dr copied and paste her content and saw other clients having the same. I’ve clarified with dr what her package entails (Custom Design from Scratch) which will include 5 custom content pages. Dr will provide for me the 5 topic and we will have it written up. This is a Platinum package so it comes will 10 by default but will will include 5 based on her Platinum rate compared to today.

    Overall, dr just sounded very frustrated so I had asked her to contact me in the future as I will be her point of contact for updates to ensure things are clarified and also taken care of. She was very appreciative and ended on a good note. Sent dr an email highlighting what we had talked about today and what we will do in the meantime.

    I have a quick question for you. How much of the site can be changed once it is live?
    If I may, can I please give you a little insight on what need and what I would like from you.
    When deciding which company to use for building my website I chose optimized because Danny really sold me on the streamlined process and your experience with dental websites Another selling point was that the website would be fully customized and that I would have a site up in about four weeks. Unfortunately so far I have not found the process streamlined, I still don’t have even a web page up, and most of what I’ve been sent looks very similar to many websites I’ve seen before (templates ?)
    Part of this may be my own fault because I didn’t realize that I needed to be as involved so early on. Between working, trying to launch a new practice, two small children, and being 7 months pregnant I am a little short on time.
    I sent some links to websites that I liked to Dawn and when she sent the new ideas (in my opinion) they were nothing like the samples and pretty ho hum. At this point I just want something up because Ive held off on other marketing because most of the pieces list the website and I don’t want to send anything out if there is no website.

    My reponse to her. Basically suggestions and how our process works...."Hello Dr. Jones, Again, I do apologize for any discrepancies in the past, but to agree with you, moving forward, we should have a plan and expectations. Below is a more detailed description of how the process works and what I suggest to speedy it up. It's a rather long email, if you would like to speak via telephone Monday morning, I am happy to give you a call. Typical Process: 1) Temporary Website: A temporary website has been setup for you initially with pages applied to it. The temporary site always starts off as a private site, but can be made visible to the public if you just need something there as far as contact information for the practice. Initially, Dawn has sent you an email on how to access it, but you can see it by logging into 360controlpanel.com. If you would like for me to make the site public for now, I can do so just to make it easier for viewing. During this time, you may edit the pages as you see fit, but most of the content there has been customized for you. I would leave it as is until there is more time to further customize. 2) Design Interview: This portion is crucial to getting a custom draft drawn up for you. It's very important that we get enough information from you to derive a concept that is close to what you'd even consider. If you'd like to leave that up to us, we're more than happy do make suggestions, but again, it might be different from what you originally had planned. 3) Submitting Concepts: Once we have a good idea of what you'd like, we'll draw up ideas and submit actual concepts. The designs are literally created from nothing into an actual design. This usually takes 2-6 weeks just depending on the communication with you. It's also important to get solid feedback to provide you with the best results as well. 4) Approval/Development: After you are satisfied with the wireframe/colors of the site, we'll start making things come to life. When you asked about changes after this phase..Any text items can be changed at ANY time. The pages, content within pages, tabs, adding/removing pages are also unlimited and can be done at any time. The focus is to approve of the main layout. If you decide to go with tabs at the top, I wouldn't be able to move it to the bottom after the approval; for example. If the site ends up being blue shades but you'd like to change to a pink color, I would not be able to do that as well. To provide an analogy: If we're building a house and putting the structure and paint together, once those items are finished, we cannot modify. But furniture can be moved around within different rooms, furniture can be added/removed. Once the design is approved, development starts which take about 5 days. 5) Further Customization: We'll send you an email to review the site thus far with all pages, links, pictures loaded. At this point, 50% of doctors leave the site as-is and go live with it. The other 50% would like to make additional changes to the content prior to going live..such as maybe adding more office photos, staff photos, etc. This process can go on for awhile as the website's online editor is available to you to make changes when you wish. My Suggestion Because you are in a time crunch, I suggest for you to log into the Control Panel and take a look at the temporary site. Currently it says "Optimized360 Temporary Site" but I can change that to your information so that you have at least a functioning site, appointment form and so forth for potential patients. This will put less stress on the design portion and we can really focus on that thereafter. If you would like to go with the temporary site (with the modifications to put your practice name), please provide me with your Domains by Proxy/GOdaddy account login credentials, and I"ll make adjustments to the domain for you. Again, I apologize for the long email, but would like to provide a clear understanding of the things that are to come. Please let me know if you have questions and/or concerns, I would love to address them."

    I spoke with Danny this morning and would like to apologize for any miscommunications prior to this as I misunderstood which concepts you were referring to. To resolve the matter, I think it might be better to communicate via email as it would be in one thread and clear as to where we are at with the process.

    Regarding your designs, I have attached a blue version of the ‘green design’ that you were speaking of. I still included a few green elements but kept it at a minimum. I’ve also included a second design that has a similar color palette, but I’ve included a more bold blue to contrast the design. Again, please take a look and let me know of what items you prefer and what items you do not.

    Had a meeting with Belinda regarding the issue and it seems like a miscommunication on the comment posted and the draft that was being referred to. Understand the frustration from dr's end bc of the process. Will speak to dr today and propose to work directly via email for remaining project so it is in 1 thread. Dr at the same time is very busy which dr has acknowledged in the past. belinda in meantime will try to revise the correct draft with her latest comment to have ready by the time i speak to her to show her results.

The last note I saw from her was Feb 3rd, which I commented/responded to that. It wasn't until yesterday that she responded. Overall, she's been communicating regarding the wrong drafts, and I have messaged her back with questions, that she doesn't respond to until a week later. She doesn't understand the CP.
